Switching to GymStrato
A lot of gyms stay on software they don't like because moving looks risky. We built the switchover for our own gym first, so we know where the problems are.
How our switch compares with a typical one
| A typical switch | Switching to GymStrato | |
|---|---|---|
| Your members | Get an email asking them to download a new app and enter their card again. | Don't need to do anything. Their card, amount and payment date stay the same. |
| Your data | Exported as a spreadsheet and partly re-typed by hand. | Members, plans, visits and payment history moved and checked line by line. |
| Payments | Moved to the new provider's account, often with extra fees. | Stay in your own Stripe account. The cards stay where they are. |
| The door | Down for a day while new hardware goes in. | Keeps working. The door reads the same member list throughout. |
| Go live | Everyone moves on the same day. | New members first, then existing members in small groups, starting with the smallest plans. |
How the switch works
Nothing moves until you've seen the numbers match. You can stop at any point and your current system carries on as normal.
Copy and check
We bring across members, plans, visit history, payment records and saved card references, then check totals against your current system.
Run side by side
GymStrato runs alongside your current system for a full billing cycle. Your reports should match to the penny before anything changes.
New members join on GymStrato
Existing members keep paying through your current system for now.
Move members in small groups
Plans move across smallest first. The card, amount and date on the bank statement stay the same, and members only get an email if you choose to send one.
Systems we can move you from
The ClubRight importer is built and tested on real gym data. We're building importers for the other common systems with our founding gyms. If you're on something else, tell us and we'll map it with you.
